The single best decision you can make with a menu QR code is to point it at a URL you control - for example yourrestaurant.com/menu - instead of linking straight to a hosted PDF file. The QR code itself is static and never changes, but the page behind it is yours to edit. Swap out the winter menu for the summer one, fix a price, or pull a sold-out dish, and every code already printed on your tables keeps working. You get the "editable destination" benefit that QR subscription services charge monthly fees for, with no subscription at all.

If you don't have a website, a free Google Doc or Google Site set to public works the same way: keep the share link constant and edit the document whenever the menu changes. Just avoid linking to a fresh upload each time - a new file means a new URL, and that means reprinting. One stable link, edited in place, is the whole trick.

Keep the menu page itself lightweight and mobile-first. Guests scan on phones, often on cellular. A simple HTML page or a compact PDF under a couple of megabytes loads in a second; a 20 MB scanned PDF on a slow host loses hungry customers before it renders.

Where the code lives determines how big it needs to be. The working rule: about 2 × 2 cm of QR code for every 30 cm of scanning distance. A table tent scanned from a seated guest's phone (30-40 cm away) should be at least 2.5 × 2.5 cm; a window decal read from the sidewalk needs 10 cm or more. Not sure? • Table tents: the workhorse - menu link on one side, WiFi code on the other.
• Window decals: link to your menu or reservations so passers-by can browse before walking in. Print large and download as SVG so it stays sharp at any size.
• Receipts: perfect spot for a Google review code - the guest has just finished a good meal.
• Counter signs: at pickup and checkout, a payment link or loyalty signup code fills otherwise dead waiting time.

Always print with strong contrast (dark code on a light background) and leave a quiet zone of blank space around the code - roughly four modules wide - so cameras can lock on quickly.

• Glossy laminate glare: high-gloss lamination reflects overhead lighting straight into the camera and can make an otherwise perfect code unscannable. Use matte laminate or matte cardstock for table tents.
• Codes printed too small: a 1.5 cm code tucked into a menu corner fails for anyone with an older phone or shaky hands. When in doubt, go bigger - a QR code never fails for being too large.
• Heavy or gated menu PDFs: a huge scanned PDF on a slow host, or a menu hidden behind a login or app-install prompt, is worse than no QR code. Guests give up in seconds.
• Low contrast styling: light-gray codes on cream paper look elegant and scan terribly. Brand colors are fine - keep the code dark and the background light.
• Not test-scanning before printing: scan every code with at least one iPhone and one Android, from the real distance and under the restaurant's actual lighting, before sending anything to the printer.
